Position Overview:

Ultimate Staffing Services is actively seeking an experienced Intake Coordinator to join their client's dynamic behavioral health team on a temporary-to-hire basis. This is a high-impact, front-line role where the successful candidate will serve as a key point of contact during the admissions process, ensuring accurate intake, regulatory compliance, and compassionate support for individuals and families during critical moments.

Rates: $22.00 - $25.00 per hour

Description:
1. Accepts all inquiry calls regarding skilled home health services to determine intake
appropriateness by consultation with RN for clinical and authorization personnel for
reimbursement.
2. Works to identify resources (staffing) available to meet the requested services prior to
accepting a potential referral
3. Works with authorization personnel to identify current payer source is acceptable. Runs
Medicare/Medicaid eligibility on every referral.
4. Ensures proper staffing of qualified and competent staff to meet the authorized services
for each client by reviewing orders for services requested.
5. Works in cooperation with an RN Coordinator to identify potential problems related to
the proposed admission. Has an appropriate RN Coordinator input diagnoses code
review all intake paperwork and physician's orders prior to sending professional field
staff out on admissions.
a. Complies with all processes developed for the intake/admission process, including
accurate input of demographics and verification of address, phone number and physical
location of client at time of admission. This includes working closely with both internal
and external healthcare professionals, office staff, clients and their families. Provides
this information to caregivers prior to open.
6. Participates in clinical rounds and provides information to the team.
7. Keeps informed of any and all contract (payer) changes or updates with regular
interaction with authorization personnel and contract personnel.
8. Maintains a collaborative relationship and effective communication with staff ensuring
mutual respect and cooperation in order to;
a. Provide information regarding clinical service
b. Participate in problem solving sessions
c. Identifying resources in the community outside and within our scope of services
9. Maintains accurate records of admissions, SOC, primary and secondary staff
assignments. Follows-up with caregivers to insure referrals were opened timely,
within 48 hours, or documentation supports why open was greater than 48 hours or
not done at all.
10. Maintains accurate record of "not admitted" referrals for the purpose of contract renewal and service identification planning.
11. Collaborates with marketing personnel to assure any challenges regarding referral
sources are identified and then followed up on as well as identifying any referral source
trends.
12. Maintains confidentiality on all aspects of job performance by following all HIPAA
regulations.
13. Notifies caregivers of orders to resume hospitalized clients and review services to be
provided.
14. Provides general clerical support to all RN Care Coordinators as needed.
15. Performs other duties as assigned including community development and marketing.

Minimum Qualifications:
  • Education High School Diploma or GED; Preferred completion of a Medical Assistant
  • program or a medical administrative assistant background.
  • Experience in admissions and staffing with progressive responsibilities
  • Exhibits knowledge and competency in computer function and application.
  • High degree of accuracy, attention to detail and confidentiality
  • Excellent data entry skills
  • Excellent analytical, problem solving and decision-making skills
  • Effective verbal, listening, and written communication skills
  • Effective organizational, stress and time management skills
  • Demonstrates a sense of urgency and ability to meet deadlines
  • Ability to work independently or as a team member
